AI IMPLEMENTATION.
Laying the foundations for AI in your business.
We built our own operations platform by applying our UX and software engineering skills with Caude Code. Then we realised most businesses should too.
Most AI projects fail before they start. Not because the technology does not work, but because the data it needs to work on is spread across a dozen different systems, stored inconsistently, and protected by logins nobody remembers.
We learned this by building our own operations platform. We replaced over sixty thousand pounds of annual SaaS with a bespoke system that runs our entire business. The platform handles billing, helpdesk, CRM, time tracking, project management, and reporting. It integrates with fifteen third-party services. It has over 2,150 unit tests keeping it honest.
And the AI agents inside it are the smallest, most recent part of the story. The foundation took longer. The foundation mattered more. The foundation is what makes the agents useful instead of embarrassing.
That is the work we help other businesses do.
SystemLabs provides AI implementation consulting for businesses in Jersey and the Channel Islands. See our Platform to understand how we build custom software, or explore our Managed IT Services.
“AI is only 10% of the story. The other 90% is getting your foundations in place. Data, workflows and automations.”
Steve Quinn / SystemLabs
The platform we built for ourselves
Database tables
Single source of truth across 15+ integrations
API endpoints
Automated workflows across the entire platform
SaaS replaced per year
Eliminated SaaS subscriptions with one bespoke platform
Billing automation
From 3 days of manual work to 15 minutes reviewing drafts
The Three Phases Framework
Start with the 90%. Then the AI becomes useful.
Phase 1. Data Layer.
Audit where your data lives. Map your systems. Centralise into one place.
- Data audit: every system, every source
- Single source of truth architecture
- API-first integration strategy
- Migration from SaaS sprawl
Phase 2. Workflows and Automation.
Build the processes that eliminate manual work. This is where the ROI lives.
- Automated billing and invoicing
- Helpdesk ticket routing and SLA tracking
- Cross-system data sync
- Reporting and dashboards
Phase 3. AI Agents.
Only now. With clean data and solid workflows, agents become force multipliers instead of expensive chatbots.
- Ticket triage and response drafting
- Knowledge base semantic search
- Client-facing AI features
- Ongoing evaluation and refinement

What does "AI implementation" actually mean?
It means building the foundations that make AI agents genuinely useful for your business. That usually involves consolidating your data from multiple systems, automating the workflows that currently waste your team's time, and only then adding AI agents where they provide real leverage. The work is 90% data and workflows, 10% AI. Most consultancies skip to step 3 and wonder why their projects flop.
How is this different from just buying an AI tool?
AI tools work on the data you feed them. If your data lives in twelve different systems and nobody agrees on where the latest version is, the AI has nothing to work with. We focus on getting your data architecture right first. The tools come after.
How long does a Phase 1 data audit take?
Typically two to four weeks depending on the size of your business and how many systems you use. We map every source of data in your organisation, identify duplicates and gaps, and deliver a prioritised list of what to consolidate first. Our data audit service is a good starting point if you want a structured assessment.
Do we need to replace our existing systems?
Usually not. Most businesses have a few systems they love and several they tolerate. Our job is to connect the ones you love and replace only what is actively holding you back. We built our own platform because nothing off-the-shelf fit. That is rare.
What does it cost?
It depends on scope. A data audit starts in the low thousands. A full three-phase implementation over twelve months is tens of thousands. Building bespoke software is the most expensive option and only makes sense when off-the-shelf genuinely does not fit. Contact us for a specific scoping conversation.
Can you prove you have actually done this?
Yes. We replaced over sixty thousand pounds of annual SaaS with a bespoke operations platform that runs our entire business. 120+ database tables, 850+ API endpoints, 15+ third-party integrations, 2,150+ unit tests. Billing that used to take three days now takes fifteen minutes. That platform is our proof of concept for this service.
